GENERAL TERMS AND CONDITIONS OF SALE

1. Purpose and Scope

These General Terms and Conditions of Sale ("Terms") govern all purchases made through the Reachy Mini Shopify store operated by Pollen Robotics SAS (a Hugging Face company), with registered offices at 2 Place Jean Jaurès, 33000 Bordeaux, France.

By placing an order, you agree to be bound by these Terms in their entirety. Any general terms and conditions of purchase submitted by the customer shall not apply unless expressly accepted in writing by Pollen Robotics.

These Terms apply to all customers, whether individuals (B2C) or companies and organizations (B2B), subject to the distinctions noted below.

2. Products

Products currently available:

  • Reachy Mini Wireless — self-contained robot with onboard Raspberry Pi CM4, battery, WiFi, camera, microphone, and speaker
  • Reachy Mini Lite — expressive robot requiring a host computer connected via USB

Product descriptions, images, and technical specifications are provided for informational purposes and may vary slightly from the actual product. Pollen Robotics reserves the right to modify, discontinue, or limit availability of any product at any time without notice.

3. Pricing

All prices are displayed exclusive of VAT, import duties, shipping costs, and any other applicable taxes or charges. These are added at checkout based on your delivery destination.

The total amount payable is:

Product price + VAT (if applicable) + Shipping + Import duties/tariffs

Prices may be displayed in USD ($) or EUR (€) depending on your location. The currency shown at checkout is the currency you will be charged in.

Pollen Robotics reserves the right to modify prices at any time without notice. The price applicable to your order is the price confirmed at the time of purchase. Promotions and discounts are valid only for the period and conditions under which they are offered.

4. Taxes, VAT, and Import Duties

All orders are shipped DDP (Delivered Duty Paid). Pollen Robotics handles all customs clearance and import formalities on your behalf. However, the cost of applicable import duties, tariffs, and VAT is the responsibility of the customer and is calculated and charged at checkout.

  • VAT is added at checkout at the applicable local rate for customers in the EU, UK, and other VAT-registered jurisdictions
  • Import duties and tariffs are calculated based on destination country and product HS codes (EU: 9023.00.8000 / US: 9023.00.0000)
  • No additional charges will be applied at delivery — all costs are collected upfront
  • Import duties and VAT are non-refundable once remitted to the relevant customs or tax authority, even in the event of a return

B2B customers with a valid intra-EU VAT number may be eligible for VAT reverse charge, please contact sales@pollen-robotics.com before placing your order.

5. Ordering

Orders may be placed directly through the Shopify store. For B2B and institutional orders requiring formal quotations, purchase orders, or custom invoicing, please contact sales@pollen-robotics.com.

By placing an order, you confirm that:

  • You are legally authorized to use the payment method provided
  • All information submitted is accurate, complete, and up to date
  • You accept these Terms in their entirety

Pollen Robotics reserves the right to refuse or cancel any order at its sole discretion, including in cases of pricing errors, suspected fraud, stock unavailability, or inability to fulfill the order. In such cases, a full refund will be issued promptly.

6. Payment

Payment is accepted via credit/debit card through Shopify Payments. For institutional orders, bank transfer is available upon request.

For French public institutions (EPCI, universities, research labs), invoicing via Chorus Pro is supported. Please contact sales@pollen-robotics.com with your SIRET and purchase order details.

All payments are due in full at the time of purchase unless otherwise agreed in writing. Invoices for B2B orders are payable within 30 days of issue. Late payments will incur interest at three times the French legal interest rate, plus a fixed recovery indemnity of €40.

7. Shipping and Delivery

Orders are fulfilled in production batches. Current lead times from order date:

Once your unit ships, delivery takes approximately 5 to 8 business days. A tracking number will be sent to your email address automatically upon dispatch via DHL.

Shipping is charged at a flat rate per unit (displayed at checkout). Lead times are estimates and may vary. Pollen Robotics cannot be held responsible for delays caused by customs, carrier issues, or circumstances beyond our control.

The customer is responsible for verifying the accuracy of the delivery address provided at checkout. Any costs arising from an incorrect address will be borne by the customer.

8. Transfer of Risk and Ownership

Risk passes to the customer upon delivery to the address provided at checkout. Ownership of the product transfers to the customer upon receipt of full payment.

9. Returns and Right of Withdrawal

Individual customers (B2C) have 14 days from the date of receipt to exercise their right of withdrawal without justification, in accordance with applicable consumer protection law.

To be eligible:

  • The unit must be mostly intact and in working condition
  • All original accessories, cables, and documentation must be included
  • A return request must be submitted to sales@pollen-robotics.com within the 14-day window

Return shipping is free of charge. Once the returned unit is received and inspected, a full product refund will be processed within 14 days via the original payment method.

Please note: import duties, tariffs, and VAT are non-refundable as these charges are remitted to customs and tax authorities.

B2B customers (companies and organizations) do not benefit from the statutory right of withdrawal. Returns for business customers are handled on a case-by-case basis — contact sales@pollen-robotics.com.

10. Warranty

Reachy Mini products are covered by a 1-year limited warranty against manufacturing defects from the date of delivery.

The warranty does not cover:

  • Damage from misuse, accidents, or unauthorized modifications
  • Failure to follow operating guidelines
  • Normal wear and tear
  • Damage to consumable components

For warranty claims, contact sales@pollen-robotics.com with your order number and a description of the issue. Pollen Robotics will arrange repair or replacement at its discretion.

Statutory legal guarantees under French consumer law (Articles L.217-4 et seq. and Articles 1641 et seq. of the Civil Code) apply in addition to this commercial warranty for individual customers.

11. Customer Obligations

The customer agrees to:

  • Use the product in accordance with the documentation and guidelines provided
  • Not resell the product without a signed distribution agreement with Pollen Robotics
  • Not use the product for any unlawful, high-risk, or safety-critical application
  • Not copy, reverse-engineer, or commercially exploit proprietary components of the product

12. Intellectual Property

All content, trademarks, logos, and proprietary software associated with Reachy Mini are the property of Pollen Robotics SAS and/or Hugging Face Inc. Open-source hardware and software components are governed by their respective licenses (github.com/pollen-robotics). The open-source license does not extend to Pollen Robotics' brand assets or trademarks.

13. Limitation of Liability

To the maximum extent permitted by applicable law, Pollen Robotics' total liability for any claim shall not exceed the purchase price of the product in question, excluding taxes, duties, and shipping. Pollen Robotics shall not be liable for any indirect, incidental, or consequential damages.

14. Force Majeure

Neither party shall be liable for failure to perform its obligations due to circumstances beyond its reasonable control, including but not limited to natural disasters, strikes, government actions, supply chain disruptions, or pandemics. If a force majeure event persists for more than 3 months, either party may terminate the order without compensation.

15. Governing Law and Jurisdiction

These Terms are governed by French law. Any dispute shall be subject to the exclusive jurisdiction of the courts of Paris, France, except where mandatory local consumer protection laws apply.

16. Modifications

Pollen Robotics reserves the right to update these Terms at any time. The Terms applicable to your order are those in force at the time of purchase.
